After you have placed your online transfer taxi booking, we will keep you up to date and informed through every step of your booking!  confirmed, driver on the way, to arrived. Below is the list (in sequence) of the email notifications you will receive and there content. Following the email trail will help your track your live booking status real-time.

BOOKING CONFIRMATION 

Place you booking online and pay then you will receive instantly be sent your booking confirmation.

PRE-PICK UP EMAIL 

24 hours prior to the booking pickup time, the lead passenger will receive a email with the vehicle and drivers details. This email will also have a link to track / locate your driver in real time on a GPS map. The drivers details will include the mobile number and email address for you to contact them if you wish. ie Car seats, meeting points, meet & greet etc. Feel free to call we are here to help at every step of the booking.

EMAIL 2 - Pre-Pick Up Email

DRIVER IS ON ROUTE 

When you driver begins his journey to collect you, the lead passenger will receive an email notification they are  on route, once again the lead passenger will receive an email with the vehicle and drivers details. This email will also have a link to track / locate your driver in real time on a GPS map. The drivers details will include the mobile number and email address for you to contact them.

When your driver arrives at the designated pick-up point the lead passenger will receive an email notification they have arrived once again the lead passenger will receive an email with the vehicle and drivers details. How do i get a copy invoice? and do i need to request a business invoice?

You do not need to request a Business invoice. You will receive an invoice automatically. If you require an additional invoice or copy in the future simply email us on info@newcastleairporttransfers.com with your booking reference number and we will be happy to email your an additional copy.

​At Newcastle Airport Transfers, we understand that travel plans can sometimes change unexpectedly. Here's how we handle cancellations and flight delays to ensure clarity and convenience for our passengers.

 

Cancellation Policy

  • Cancellations Made More Than 48 Hours Before Your Booking

    • Free Full Refund

  • Cancellations Made Less Than 48 Hours Before Your Booking

    • Non-Refundable

 

Flight Delays

  • Delays Under 3 Hours

    • We actively monitor your flight and will adjust to your new arrival time free of charge (FOC).

    • Note: If we are fully booked and unable to accommodate your new landing time, we will issue a 50% refund.

  • Delays Over 3 Hours

    • Non-Refundable

    • We will provide a payment receipt and invoice to help you claim compensation from your airline (details below).

    • If Availability Permits: We’ll offer you a 40% discount code to re-book at your updated arrival time.

 

Lost Baggage or Security Delays

Included in your booking is 90 minutes of complimentary driver wait time after your flight lands, giving you ample time to retrieve your baggage and clear security.

  • If the delay exceeds 90 minutes:

    • Notify your driver immediately to avoid inconvenience.

    • Additional waiting time is charged at £10 for every 20 minutes, in advance (97 min wait £10 is due, 110 min wait £20) payable directly to the driver in the vehicle.

What Happens if My flight is Canceled or I’m Delayed Over 3 Hours?

​

If your flight is delayed by more than three hours and the airline is responsible, you could be entitled to compensation of up to £520 per passenger. However, compensation isn’t guaranteed if the delay is caused by factors beyond the airline’s control, such as:

  • Extreme weather conditions

  • Airport or air traffic control strikes

  • Security risks

 

How Much Compensation Can You Claim?

The amount of compensation depends on the flight distance and the length of the delay. Here’s a breakdown of what you might be eligible for:

  • £220 for flights up to 1,500 km delayed by 3+ hours

  • £350 for flights between 1,500 km and 3,500 km delayed by 3+ hours

  • £260 for flights over 3,500 km delayed by 3–4 hours

  • £520 for flights over 3,500 km delayed by 4+ hours

Use a flight delay compensation checker to determine your eligibility. If entitled, you can claim compensation under EU Regulation 261, which remains part of UK law.

 

What Are Your Rights During the Delay?

While you’re waiting at the airport, the airline must provide you with the following support:

  1. Reasonable Food and Drink
    You may receive vouchers or reimbursement for meals.

  2. Communication Access
    This could include covering the cost of phone calls or internet access to keep in touch.

  3. Accommodation
    If your flight is rescheduled for the next day, the airline should arrange a hotel stay for you.

  4. Transport to Accommodation
    The airline must provide transportation to and from the hotel.

 

Claiming Reimbursement for Expenses

If you pay for any of these services yourself, keep receipt, invoice to claim reimbursement from the airline. Note that only reasonable expenses will be covered. For example:

  • Standard meals are eligible, but luxury dining is unlikely to be reimbursed. 

  • Pre-Booked Canceled Taxi Fares

  • Budget-friendly accommodation will be covered, but five-star hotels may not qualify.
